Ask District Finance: April 2021

In March, I reported that I was testing  a theory about individuals who hold two club treasury roles or who were district officers and club treasurers.  The results are in.  If you have your credentials for Concur, then you can easily log in.  If you are asking for reimbursement for an expense not incurred by your original club or your original role, then go back into the set-up and change the bank account routing and account numbers to the bank for that club or that position.  Submit the expense and when approved, the money will be deposited into the 2nd account.  It is important to remember which account is active.  My suggestion is that each time you request a reimbursement, you check the banking information to ensure it is the bank account to which you want the money to go.  If you have questions, please don’t hesitate to send me an email.

Oh, by the way, I have had a host of treasurers who signed up and got their credentials for Concur over 30 days ago.  They are currently trying to get into their account and are told their password is invalid.   Well, the opening password is “welcome.”  However, after 30 days, this password is negated.  What do you do?  You send me an email letting me know you haven’t been able to set up your account because your password has expired.  I then request for TI District Finance a reset to your account.  After this has been completed, you can then go in and set up your bank account and submit an expense report.

I am beginning to see requests for reimbursement using District Bucks.  This is great and I just want to remind you that you have 6 weeks within which to spend your Bucks and submit the reimbursement to Concur.  I did have a club ask if they could use their club’s money to buy gift cards for equipment they are researching to purchase once they go hybrid.   Two answers to this question:

  • The club cannot buy or use gift cards for any purchase and
  • Gift card purchase is not reimbursed by Concur as it would not be approved.

The time is very short to decide on, purchase and submit the expense for reimbursement.  This is why I have been talking about the larger purchases for most of the year.  If the club is  just now beginning the research on cameras, microphones, computers, Zoom rooms, speakers and such, time is of the essence.  There will be no extensions of time past May 31, 2021.
